Refund Policy

Refund Policy for ARC Racing Camps

Effective Date: 04/07/2025

 

At ARC Racing Camps, we strive to provide a high-quality experience for all our participants. If for any reason you are unable to attend a camp or need to cancel, we have established the following refund policy to ensure fairness to all parties.

 

1. Camp Cancellation by ARC Racing Camps:

 

In the unlikely event that ARC Racing Camps cancels a camp session due to unforeseen circumstances (e.g., insufficient enrollment, weather conditions, or other factors), we will notify participants as soon as possible.

Participants will have the option to:

  • Receive a full refund of the camp fees paid

  • Transfer their registration to a future camp session 

 

ARC Racing Camps will not be liable for any additional costs incurred by participants, such as travel or accommodation expenses, in the event of a camp cancellation.

 

2. Participant Cancellations:

 

If you need to cancel your registration for ARC Racing Camps, the following terms apply:

 

Full Refunds:

  • Cancellations made more than 30 days before the camp start date: You will receive a full refund of the camp fees paid.

 

Partial Refunds:

  • Cancellations made between 29 and 16 days before the camp start date: You will receive a 50% refund of the camp fees paid. Non-refundable processing fees will be deducted.

 

No Refunds:

  • Cancellations made less than 15 days before the camp start date: No refunds will be issued.

 

3. Force Majeure:

 

In cases of force majeure, such as natural disasters, government-imposed restrictions, or other events outside our control, ARC Racing Camps will not be held responsible for delays, cancellations, or changes to scheduled camps. In these cases, participants may be offered:

  • A transfer to another session (subject to availability).

  • A partial refund, depending on the circumstances.

 

4. Medical Emergencies:

 

If a participant must cancel due to a medical emergency (e.g., illness or injury), a refund may be issued, provided that a medical certificate is submitted. Refunds for medical emergencies are subject to review and approval by ARC Racing Camps.

 

5. Transfer Policy:

 

Participants may request to transfer their registration to another camp session if needed, subject to availability. Transfer requests must be made at least 15 days before the camp start date. Transfers are subject to an administrative fee of $200.

 

6. Refund Request Process:

 

To request a refund, cancellation, or transfer, please contact us at:

 

Please include the following details in your request:

  • Participant’s name

  • Camp session(s) enrolled in

  • Reason for cancellation or refund request

  • Any relevant documentation (e.g., medical certificate for medical cancellations)

Refunds will be processed within 7-10 business days after approval.

 

7. Non-Refundable Fees:

 

Certain fees, such as processing fees, registration fees, or deposits, are non-refundable. These fees are not eligible for refund, even if a participant cancels their registration.

 

8. Changes to Refund Policy:

ARC Racing Camps reserves the right to modify this Refund Policy at any time. Any changes will be posted on our website with an updated "Effective Date." Participants will be subject to the Refund Policy in effect at the time of their registration.
